1. Navigating Your Estate Admin Desk

Log into your estate management desk at https://your-estate.m6application.com/app. You do not need to memorize menus. Press Ctrl + K (or Cmd + K on Mac) from anywhere in the desk to search and open any page instantly:

Your estate configuration defines how your community is structured, what electricity rate is billed, and how resident payments are routed.

Estate Master
Go to M6 App Workspace > Estate Masters > Estate. Set your Estate Name, Estate Code (e.g. LEKKI-01), and default electricity tariff (e.g. ₦150.00 / kWh).

Organize your estate into physical sections (e.g. Phase 1, Block A, Palm Street, Diamond Court). This enables batch billing by zone and fast property filtering.

Payment Settlement Routing
Configure your estate bank accounts for resident online payments. Funds paid by residents settle directly into your designated estate bank account.
🏠 3. Property Units & Smart Electricity Meters

Every physical apartment, duplex, or commercial unit is registered as a Property.

Create Property Unit
Open M6 App Workspace > Property. Click Add Property. Enter Property ID (e.g. FLAT-3B or HOUSE-12), Court/Street, and Unit Type.

Attach STS Smart Electricity Meter
Enter the resident's physical meter number (e.g. 0419-8274-192). This ensures power tokens purchased by the resident generate exclusively for their meter.

Set Occupancy Status
Mark unit as Occupied by Resident, Occupied by Owner, or Vacant. Vacant properties are excluded from routine resident service debits.
👤 4. Resident Approval & Property Linkup

The Number #1 Manager Task: Linking Residents to Properties When residents register on the web or mobile app, they are placed in security verification. If a resident logs in before you link their house, they will see the message: "No Property Linked. Contact Estate Office." Linking takes only 10 seconds!

How to Link a Resident in 3 Quick Clicks:

    Open the Property Document
    Navigate to M6 App Workspace > Property (or press Ctrl+K > Property) and open the resident's house (e.g. UNIT-B04).

    Select Resident in the Dropdown
    In the Resident field, select the resident's registered name or email from the list. Set their role (Tenant, Homeowner, or Occupant).
  3. 3
    Click Save
    The moment you click Save, the resident's mobile app and web dashboard unlock automatically with full access to power vending, wallet top-ups, and visitor passes.

Approving Self-Service Signups:

When a resident registers online at /signup, their record appears under M6 App Workspace > Resident with status Pending Review. Open their profile, verify their phone and allocated unit, check Approved, and save.

🤝 5. Landlords & Rental Tenancy Management

M6 simplifies property leasing by tracking property owners, tenancy agreements, rent collection schedules, and automated landlord disbursements.

1. Landlord Directory
Go to M6 App > Rental Management > Landlord. Register property owners, emergency phone numbers, and bank account details for remittances.
2. Tenancy Contracts
Create a Tenancy Contract linking a Landlord, Tenant, and Property. Specify annual rent (e.g. ₦3,500,000), payment cycle (Annual/Quarterly), and lease start/end dates.
3. Automated Invoicing & Receipts
When rent falls due, M6 generates the official rent invoice and sends an email reminder to the tenant. Once cleared, an official tax receipt is generated automatically.
🧾 6. Property Billing, Invoicing & Auto-Debits

Bill residents for monthly estate levies, security charges, waste disposal, and ad-hoc maintenance without manual paperwork.

Billing Method When to Use It How to Execute in M6
Estate Bill Profile Standard recurring monthly charges (e.g. Security Levy ₦20,000/mo). Set up once in Billing > Estate Bill Profile. The system generates bills automatically every month.
Batch Court Billing Generate monthly bills for all 100+ properties in a specific court or the entire estate at once. Open Billing > Generate Batch Bills, select Estate and Month, click Create & Dispatch Invoices.
Single Property Bill One-off charges (e.g. clubhouse event fee, plumbing repair, construction levy). Go to Billing > Single Property Bill, pick Property Unit, enter itemized breakdown and amount, then submit.
How Automated Wallet Auto-Debits Work Residents who pre-fund their Service Wallet do not need to make manual transfers. On the bill due date, M6 automatically debits the exact amount from their Service Wallet balance and sends an instant zero-balance receipt.
🚫 7. The Service Lockout Engine (How It Works)

The Service Lockout feature is an automated compliance mechanism. It gently enforces timely payment of estate service levies without embarrassing arguments or physical gate confrontations.

When a service levy is generated (e.g. due on the 1st of the month), the resident receives an email notification with a 7-day grace window to settle.

What Gets Restricted
If unpaid after the grace period, M6 automatically applies a Service Lockout on that property:
Power Vending Blocked: Resident cannot purchase electricity.
Visitor Gate Passes Blocked: Resident cannot create guest QR passes.

Immediate Restoration
The exact second the resident settles the bill (via debit card online, wallet top-up, or office cash receipt), M6 instantly lifts the lockout with zero manual manager effort!

Manager Emergency Grace Waiver:

If a resident has an emergency or medical situation and requests a brief extension, an authorized Facility Manager can open the Property document and check Temporary Lockout Exemption (48 Hours). This temporarily unblocks utility access while awaiting payment.

💳 8. The 3-Tier Property Wallet System

To eliminate financial disputes, M6 maintains 3 separate sub-wallets for each property. This ensures electricity money cannot accidentally pay waste charges, and maintenance funds are never locked inside utility meters.

9. Office Emergency Power Vending

When a resident visits the estate facility office to purchase electricity with cash, bank transfer, or POS, use the Emergency Power Vending desk.

    Pick the unit (e.g. FLAT-3B). The resident name and meter number load automatically. Choose payment mode: Cash, POS/Transfer, or Energy Wallet Balance.

    Enter Amount & Vend Token
    Enter amount (e.g. ₦10,000). Click Vend Power. The 20-digit token is generated in real time, dispatched via SMS to the resident, and printed on receipt paper.

🛡️ 10. Security Gate Terminal & Visitor Access

Estate security personnel use the lightweight, touch-screen Security Gate Terminal on smartphones or guardhouse tablets.

Scan QR Code or Type 6-Digit Code
When a visitor arrives at the estate gate, the guard scans the QR code from the visitor's WhatsApp pass or types the 6-digit access code (e.g. 482-109).

The system checks pass validity, authorizing host property, and verifies the property is not on service lockout.

Quick Fix (10 seconds): Open M6 App Workspace > Property, open their house/apartment unit, select the resident's name in the Resident dropdown, and click Save. Their app will immediately unlock.
Why is a resident blocked from buying power or making visitor passes?
Quick Fix: Check the property's billing tab. The unit is on Service Lockout due to an unpaid overdue service charge. Once the resident settles the bill (online or at the office), the lockout lifts immediately. In an emergency, check Temporary Lockout Exemption (48 Hours) on the property document.
How do I reprint a lost electricity token for a resident?
Quick Fix: Open M6 App Workspace > Power Transactions, search by the resident's meter number or unit. The 20-digit token is permanently stored and can be re-sent via SMS or printed as a duplicate receipt.
How do I reverse an incorrect billing auto-debit?
Quick Fix: Navigate to M6 App Workspace > Billing > Single Property Bill, locate the erroneous invoice, click Cancel, and create a Credit Note. The resident's Service Wallet balance will be restored automatically.
